General terms & conditions
Effective from 25 May 2025
By agreeing to these general terms and conditions, you understand that:
Article 1: Nature of the Service and Trust-Based Relationship
- The sessions, possible advice, and information shared by Mind Emotion Coach are not a
replacement for medical or psychological assistance. - Mind Emotion Coach can never guarantee results.
- The therapy and services are only intended to support the emotional aspects of any
issues. This is not an emergency or crisis service. - Mind Emotion Coach is fully committed to guiding you (and all clients) without bias,
respectfully, safely, compassionately, and from your own perspective, toward the outcome that
you (the client) envision. The wishes of third parties and societal judgments are only taken into
account to the extent that they matter to you / the client. This also applies to minors. - This therapy works directly with emotions. Intense emotions may be experienced.
- Mind Emotion Coach will indicate whether they are able and willing to work with you.
- If you are suffering from a medical condition, Mind Emotion Coach trusts that you will report
relevant medical or psychiatric conditions to them for your own wellbeing and that of the
therapist. - If you have a medical or psychiatric condition: you are responsible for checking with your own
primary care medical professionals whether the services of Mind Emotion Coach are safe for
you. This is your own responsibility! - Mind Emotion Coach cannot be held liable for any negative consequences for you / the client
or for family members, arising from normally provided services in accordance with the EFT
International Code of Conduct (Netherlands), and the CAT/GAT codes of conduct and terms.
Trust and Privacy:
- Sharing information is necessary for effective therapy. The storage of some of this information
through notes and forms supports the therapeutic process.
Mind Emotion Coach is obliged, through affiliation with EFT International and Dutch legislation
(the Dutch GDPR/General Data Protection Regulation), to treat all information shared by a client
before, during, or after sessions within the confidential framework of therapy/services. The
exceptions to this are: - A request from the client to share this information with themselves or a third party or institution
(via a signed form); - A legal order requiring the information to be shared;
- An unsafe situation for the client or their surroundings: if such facts arise, Mind Emotion Coach
is required to notify the appropriate individuals or institutions.
Article 2: Booking, Session, Payment
- Booking details, and an invoice with price, and payment method will be shared prior to the
appointment via email. - The payment term is: before the first session. In the case of a series of sessions, payment is
due before the first session, and if part-payments are accepted then the first part is due before
the first session. The remaining payments are due by the agreed next due dates, typically with a
month interval. - Payment is made via IDEAL, Stripe or directly to the specified bank account.
- Mind Emotion Coach services and therapy are not exempt from VAT, so 21% VAT will be
charged. You will be sent an invoice including VAT details. - Mind Emotion Coach services are not reimbursed by health insurance.
- Booked sessions and services, including those in a package, must be used within 1 year of
payment, unless specifically agreed otherwise in writing.
Article 3: Cancellations
- A booked session can be canceled up to 24 hours in advance, with a full refund.
- Canceling part of a package: the remaining amount will be refunded, but any discount will be
void. - Cancellations made within 24 hours before the session or after it has started: a €30
administrative fee will be charged.
Article 4: Complaints and Guarantee
The complaints procedure is described in the EFT International Code of Conduct (available on the
Mind Emotion Coach website) and by the GAT complaints redressal committee (also available on
the same website albeit in Dutch).
